SUMMARY/OBJECTIVE:
The Executive Assistant is responsible for providing administrative support and assistance to the Chief of Staff, including the preparation of and typing of agendas and final minutes for various committee meetings.  The position will be based in Woburn, MA and is 5 days a week in-office.

ESSENTIAL FUNCTIONS:
  • Provide administrative support and assistance to Chief of Staff.
  • Perform clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.
  • Provide high-level administrative support by conducting research, preparing statistical reports, handling information requests.
  • Prepare letters, reports, memos, financial statements and other documents, using word processing, spreadsheet, database, or presentation software.
  • Open, sort, and distribute incoming correspondence, including faxes and emails.
  • File and retrieve corporate documents, records, and reports.
  • Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner.
  • Type final minutes for foregoing meetings.
  • Arrange travel schedules and reservations for executive management as needed.
JOB QUALIFICATIONS:
  • 2+ years’ experience supporting executive level employees.
  • Excellent calendar management skills, including the coordination of complex executive meetings.
  • Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook.
  • Experience assisting management with the creation of PowerPoint presentations.
  • Ability to function well in a fast-paced environment and adapt to rapidly changing priorities.
  • Excellent written and verbal communication skills.
The salary range for the Executive Assistant is $70,000 - $100,000 per year.
